How to Add Inventory Items to a Protocol Template in SciNote

You can now assign inventory items directly within a Protocol Template in SciNote. This allows you to predefine the materials needed for a protocol and eliminate repetitive steps when creating new tasks. When the Protocol Template is loaded onto a Task, the assigned inventory items are automatically populated into the Assigned Items section - reducing setup time and improving consistency across teams.

How to Add Items to a Protocol Template

  1. Go to the Protocol Templates section in SciNote

  2. Open or create a new Protocol Template

  3. Click the new Items tab

  4. Use the Assign Items button to select inventory items

  5. Save the template

What Happens When You Use the Template in a Task?

When a user loads the Protocol Template into a Task:

  • The protocol steps and results are added as usual

  • The assigned inventory items are automatically populated into the Assigned Items section of the Task

  • Users can still add or modify assigned items within the Task, if needed

Tip: After loading a Protocol Template in a Task, double-check key item details such as lot numbers, expiration dates, stock levels, and other critical metadata. When the template is used, it will assign the exact items that were originally added to the template.

If an item is later expired, depleted, or no longer valid, you’ll need to either:

  • Update the template with a valid replacement item, or

  • Manually update the Assigned Items after loading the template into a Task

Keeping your assigned inventory items up to date helps prevent errors during task execution and supports compliance across your workflows.
