How to enable and use the “Import with AI” Feature (BETA )?

Import with AI is a BETA feature that converts SOPs and protocols into structured protocol templates using AI. This reduces manual effort and ensures consistent and accurate protocol documentation

How to access the Import with AI Feature

    1. If you are a SciNote Premium customer:
    • Enable ‘Import with AI’ :sparkles: in the Organization settings
    • Go to our Organization settings and enable the new ‘Import with AI’ feature.
    • If you don’t see this option, please contact your SciNote Organization Administrator to enable it for you
    2. If you are NOT a SciNote Premium customer:
    Note: Access is time-limited during the Beta period as a SciNote Premium feature.
     

    In the BETA phase, each user can submit up to 5 AI Import jobs per day. Once this limit is reached, no additional Import with AI jobs can be submitted until the next day.

     

    How it works?

    • Locate the Feature in SciNote
    Once the feature is enabled on your account, go to the Protocol Templates section in your SciNote workspace and click on the button labelled “Import with AI”

     

     

    • Prepare your PDF file
    Make sure your PDF is text-based (not scanned or image-only), and format the protocol with clearly defined, step-by-step instructions to ensure the best AI parsing accuracy.
    • Upload PDF and Enter a Prompt

    Click “Import with AI,” then upload your PDF file and enter a custom prompt — a brief description that guides the AI on how to extract the protocol (e.g., “Extract step-by-step cell culture procedure”).

    • Preview the AI Output

    After the AI finishes parsing, a preview will be displayed showing the protocol description along with a structured list of protocol steps.

    • Confirm or Revise

    If the result looks accurate, click “Import” to create a draft protocol template; if adjustments are needed, simply cancel and try again with a revised prompt.

    Import with AI is currently available as a Beta feature

    • During the Beta phase, the feature is provided at no additional cost to selected users for feedback and testing purposes.
    • Once the feature is officially released, it will be offered as a billable add-on available only on specific higher-tier SciNote subscription plans.

     

     Privacy, Security & AI in SciNote

    We take your data seriously. Here’s what you need to know when using AI features like Import with AI:

    Your data stays safe

    • Your documents and prompts are never stored or used to train AI models third-party.
    • All AI data is encrypted in transit (TLS), and access is strictly controlled.
    • We comply with international standards, including ISO/IEC 27001:2022 and SOC 2 Type I.

    How AI works in SciNote?
    • Only the relevant text (the uploaded protocol and your prompt) is temporarily sent to the third-party AI model to generate results.
    • No personal info is automatically removed, so please avoid submitting names or sensitive data.
    • AI-generated content is created once and not reused or stored by our third-party  AI providers.

    You’re in control

    • AI features are completely optional and are by default turned off  - they can be turned on and off at the organization level.
    • Organization Administrators  manage access, and audit logs track AI interaction.
